Personal data will be used in the final testing phase of the new client data system

The new client data sys­tem called Roti will be taken into use in 2022. The data in the ex­ist­ing client data sys­tems used in prison and pro­ba­tion ser­vices will be trans­ferred to the new joint client data sys­tem. Var­i­ous tech­ni­cal mea­sures will be used to test the change process so that the ac­tual changeover will go as smoothly as pos­si­ble.

The Criminal Sanctions Agency is preparing the changeover to the new client data system and has paid particular attention to the data protection and information security of personal data. Many of the tests linked to the changeover were done with the help of practice data, which contained no personal data. However, it is necessary to use data that contains personal data in the final testing phase in order to make sure that the changeover goes smoothly in every respect. As the earlier tests have gone well, the use of personal data in the final testing phase is considered safe.

The use of personal data for the purpose of testing is a one-off event and concerns about 70 people. The personal data used in the final testing phase will be randomly selected. The data subjects always have the right to get confirmation whether their personal data is processed in the final testing phase. They can ask the data protection officer of the Central Administration of the Criminal Sanctions Agency about the processing of their personal data.

Their rights regarding the processing of their personal data remain the same. The rights can be found in the data protection records. The data subjects have the right to access to the personal data, the right to request rectification, erasure, or restriction of processing of personal data and right to lodge a complaint with the Data Protection Ombudsman.

The Criminal Sanctions Agency processes personal data in order to comply with a legal obligation.
